Planning an LED Wall for a Chicago Corporate Event: A Venue Checklist

enter image description here

A successful LED wall installation begins before the equipment reaches the loading dock. For a corporate event in downtown Chicago, Schaumburg, Naperville, or another suburban venue, the practical details of getting into the room can shape the production schedule and budget.

Use the venue conversation to confirm the complete installation, from delivery through removal.

Confirm the route to the ballroom

Ask where the truck can unload, whether a dock reservation is required, and how long the space is available. Check door openings, freight elevator dimensions and capacity, corridor turns, and the distance to the room.

A ballroom can have ample space for the finished wall while offering a difficult route for equipment cases. Share access information with the production provider before crew and transport plans are finalized.

Review the full room layout

Provide a scaled plan showing the stage, tables, exits, lectern, dance floor, and production position. Include ceiling features such as chandeliers and soffits, along with any columns that affect sightlines.

The visible screen dimensions are only part of the installation. Ground support and service access need room, and a flown design requires venue-approved rigging arrangements. Qualified production and venue personnel should determine the appropriate structure.

Establish who supplies power and rigging

Ask the production provider for the system's electrical requirements, then confirm with the venue who supplies and connects the necessary service. Include processing and playback equipment in that discussion.

Do not assume a nearby outlet is the correct power source for the entire wall. Similarly, a ceiling attachment point should not be treated as available until the venue has confirmed its use and requirements.

Clarify labor and supplier arrangements

Each property has its own policies. Ask about outside production suppliers, house services, required labor, rigging providers, delivery procedures, and any applicable charges.

Get these details in writing where possible. A rule at one hotel or convention facility does not establish the policy at another.

Protect setup and rehearsal time

The schedule should include access, unloading, assembly, testing, content review, rehearsal, doors opening, the program, and strike. Account for other teams working in the same space.

If the room hosts an earlier event, confirm when it will actually be released. A booking that starts at noon does not necessarily mean production can begin assembling at noon.

Send one coordinated brief

Before the final quote and production plan, gather:

  • The venue contact and room plan.
  • Confirmed access, set-up, and tear-down windows.
  • Expected seating and stage arrangement.
  • Power, rigging, and labor responsibilities.
  • Screen content and live camera requirements.
  • Rehearsal and show times.

Send these details to Jaffe, Inc. when discussing your LED wall. Early coordination gives the venue, planner, and production team a shared picture of what needs to happen.
